You cannot switch the role yourself
Sign up as a joiner, finish your Tourism Manifest, then apply from Profile. Add a Facebook page or a website / Instagram link so Pheaks can see you actually run trips. Approval is a review, not a toggle. Until then you cannot publish.
Read the organizer terms first. Set your activity waiver or keep the Pheaks default. Joiners accept the live text at checkout. That snapshot stays on their ticket.
You write the tour once in a skippable wizard: basics, dates and price, photos, trail (hikes), package and pickups, then which fields guests see. Save a draft on every step. Publish, or schedule go-live in Manila time, from Review. Duplicate a listing from the dashboard when the next Pulag weekend is the same post with new dates. Then add dates. Each date is the bookable trip, with its own fee, capacity, vans, manifest, and scanner. A cheaper weekday run is allowed. Editing the listing later does not rewrite a joiner's already-chosen pickup.
Sharing the listing as a poster and taking bookings in the group chat skips Pheaks entirely, so nobody gets a ticket, a seat, a certificate, or a manifest row from it. Book through Pheaks for those. Every head that consumes a slot owes one convenience fee, including walk-ins and friends paid in a group checkout.
Coordinators
Create coordinator accounts from Team. Assign them to a date (or to the whole series). They see only what you assigned. They can scan and read the manifest. They do not see Pheaks' cut, and they cannot un-attend someone or cancel a paid booking.
How you get paid
Trip money does not pass through Pheaks. Post every channel you accept (GCash, Maya, a PayMongo link, a bank account, any QR) on your Profile. Pheaks attaches them all to every booking the moment it turns Reserved, on the joiner's ticket and in their confirmation email, with your QRs downloadable. The trip fee goes straight to you. Nothing to link, nothing held, no payout to wait for.
What Pheaks charges the joiner is the convenience fee, once per slot. That is the whole of Pheaks' cut and the only money it moves. Post no number and no QR and joiners can still book, but their ticket has nowhere to send your money, so they will message you for it. Featured listings, when you use them, live under Payments.
Because Pheaks never held the trip money, it cannot refund it. A joiner who cancels before call time gets their slot released. Any convenience fee Pheaks charged is kept, and whatever they already sent you is yours to settle with them under your own terms. If you cancel the date, Pheaks refunds any fee it charged. The trip money is still yours to return.
Collect stays the ledger. The notebook in the van is the backup, not the source. Log DP, extras, van OT, and anything you shouldered on the trip money board. Dashboard rows show remaining slots and unpaid cash in one glance. Keep Copy for Messenger, and sit Share listing link next to it so the group chat can open the teaser instead of rewriting the same Pulag post.
The live manifest
This is the DENR / LGU sheet, not a spreadsheet in Drive. Legal name, nickname, emergency contact, medical notes, pickup, seat, and whether cash is still due. Walk-ins you add by hand show up here. Export or paste when the ranger asks.
Van plate, driver name, driver contact, and a short description of the vehicle are not required to publish. They are required before check-in and before you can mark the date Completed. Joiners who are Reserved or Attended see those fields on the ticket. That is how they find the right Hiace at 3 a.m.

Walk-ins
Someone shows up at Ambangeg without a ticket. You add them on the live manifest. That head consumes a slot and owes a convenience fee. Releasing a walk-in who still owes that fee frees the slot. They are treated as accepting the waiver in force at the moment you add them.
Certificates and closing the day
Completing a date is on you, after the trip. It needs a signature on your default certificate template, van details filled, and no walk-in convenience fee left outstanding. An event can override heading, background, and logo. It cannot skip the default signature. You may upload a PDF per joiner if your trail certificate is the one they should keep.
Do not complete a date that did not run. Certificates and reviews unlock on Completed.

Ridge Runners publishes three Pulag dates
One listing, three call times. Saturday is 13 slots at the usual fee. The Friday run is smaller and cheaper. Coordinators Kaye and Ben get Saturday. Only Kaye gets Friday. Joiners see one card on Home with “+2 more dates,” then pick on the listing.

You call the day
You cancel the date from the dashboard. Joiners keep a ticket that says the trip was called off. If Pheaks charged a convenience fee, it refunds it. That is all it ever held. Everyone who already GCash'd you their trip money is yours to refund.

Close the trip so certificates print
Every van has a plate and a driver. No walk-in fee is outstanding. You tap Completed. Ana can download a PDF on the jeepney home. You can review her. She can review Ridge Runners. A tour you ran last month already has certificates. It never moved her summit count, and that is correct.
